Create a Content Audit Action Plan Spreadsheet using AI

This guide walks you through how to use AI to run a full content audit of your uConnect platform and automatically generate a customized, branded action plan spreadsheet. The spreadsheet will identify your top Quick Wins and Longer Projects, with concrete implementation steps, so your team has a clear roadmap for what to tackle first.

Overview

uConnect's AI Search is launching Spring 2026 — and the richness of your platform content will directly shape what students can discover. The more structured, native content your platform has, the more powerfully AI Search works for your students.

Before You Begin

You'll need the following before running the prompt:

Field

What to Enter

Example

Institution name

Your full institution name

Harvard FAS Mignone Center for Career Success

Platform URL

Your uConnect platform's public URL

careerservices.fas.harvard.edu

Brand color (hex)

Your institution's primary brand color

#A51C30 (Harvard crimson)

Not sure of your brand hex code?

Include your institution name and ask your preferred AI to find it — it can usually identify your brand color from your institution's website or style guide.

How to Run the Audit

Step 1: Open your preferred AI tool

You can use any AI tool to run this prompt but we used Claude as an example. You don't need any technical experience to use it.

Step 2: Copy the Prompt

Copy the full prompt below. Then fill in your institution's specific details in the CUSTOMER INFO section at the top — replace every item in [brackets] with your own information.

Tip:

Don't change anything below the CUSTOMER INFO section. The rest of the prompt contains the instructions Claude needs to audit your platform and build your spreadsheet correctly.

Step 3: Paste and Send

Paste the completed prompt into your preferred AI tool message box and press Enter. Your AI will:

  1. Visit several pages of your uConnect platform and analyze your content
  2. Identify your top content gaps and AI Search readiness issues
  3. Generate 3 Quick Wins and 3 Longer Projects specific to your platform
  4. Build and deliver a branded .xlsx action plan spreadsheet for download

The Prompt

Copy everything below this line and fill in your details before sending:

I need you to build a content audit action plan spreadsheet for a uConnect customer.

Here is the information for this customer:

CUSTOMER INFO:

- Institution name: [FULL INSTITUTION NAME]

- Platform URL: [UCONNECT PLATFORM URL]

- Success Manager name: [SUCCESS MANAGER FIRST NAME]

- Primary contact name: [CUSTOMER CONTACT FIRST NAME]

- Institution brand color (hex code): [HEX CODE — e.g. #A51C30 for Harvard crimson]

- Platform launch date or maturity level: [e.g. "Launched March 2026" or "Established platform, 3+ years"]

STEP 1 — AUDIT THE PLATFORM

Please fetch the following pages from the platform URL above and conduct a

content audit using the master prompt framework:

- Homepage

- Resources page

- Career Pathways / Communities pages (fetch at least 2-3)

- People landing page

- Any identity/affinity community pages visible in the nav

Evaluate these content types for presence, discoverability, depth, AI Search

risk, and strategic impact:

Blogs, Classes, People, Organizations, Labor Market Insights, Outcomes,

Experiences, Identity & Affinity Content, Jobs/Internships, Employers,

Events, Resources

Also flag any PDFs, Google Doc links, or external hyperlinks that live outside

the platform and would be invisible to uConnect's AI Search (launching Spring 2026).

STEP 2 — IDENTIFY QUICK WINS & LONGER PROJECTS

Based on your audit, identify:

- 3 Quick Wins: lower-effort, high-impact actions directly tied to AI Search

  readiness and content discoverability

- 3 Longer Projects: more strategic investments that will strengthen the

  platform ecosystem over time

For each item include:

- A clear action title

- Why it matters (specific to this platform and institution)

- A concrete next step (specific enough that the customer can act on it without

needing to ask a follow-up question — reference exact dashboard paths where

relevant, e.g. "Publish > Resources" or "Manage > Communities > Edit > Description")

STEP 3 — BUILD THE SPREADSHEET

Using openpyxl, build a .xlsx action plan spreadsheet that matches this format:

STRUCTURE:

- Row 1: Title bar — "[Institution Name] — uConnect Platform Action Plan"

(bold white text on institution brand color background)

- Row 2: Subtitle — platform URL | Content Audit | [Month Year] |

[any relevant platform context e.g. launch date]

- Row 3: Blank spacer

- Row 4: Three summary banner cells side by side:

    * "What's Working:" — green background, summarize platform strengths

    * "Needs Attention:" — orange background, summarize key gaps

    * "Focus First:" — blue background, top priority callout

- Row 5: Blank spacer

- Row 6: Column headers (dark gray background, white bold text):

    # | Action | Why It Matters | Recommended Implementation

    | Owner | Due Date | Status | Notes / Resources

- Row 7: Section header — "QUICK WINS — Start here. Lower effort, immediate impact."

  (gold/amber background)

- Rows 8-10: Quick Win items 1-3

- Row 11: Section header — "LONGER PROJECTS — Plan these out with your team."

(institution brand color background, white text)

- Rows 12-14: Longer Project items 4-6

- Second-to-last row: Italicized note acknowledging platform strengths and

framing opportunities as growth, not deficiencies

- Last row: Footer with status key and support link

COLUMN WIDTHS (approximate):

A: 5, B: 38, C: 48, D: 44, E: 18, F: 15, G: 15, H: 30

STYLING RULES:

- Font: [add in style] throughout

- Number column (#): institution brand color background, white bold text

- Section headers: span all 8 columns, merged

- Data rows: alternate between white and light gray backgrounds

- All cells: thin light gray borders

- Row height for data rows: 90pt minimum (use 160pt for cells with 4+ steps)

- Freeze panes at row 7

- Status default: "Not Started" in all data rows

- Owner and Due Date columns: left blank for the customer to fill in

- "Recommended Implementation" column: populate with concrete, actionable

uConnect guidance for each item — specific dashboard paths, suggested

sequencing, and any relevant uConnect support resources

After saving the file, run:

python3 /mnt/skills/public/xlsx/scripts/recalc.py [filename].xlsx 30

Then copy to /mnt/user-data/outputs/ and present the file.

NAMING CONVENTION:

[InstitutionShortName]_uConnect_Content_Audit_Action_Plan.xlsx

(e.g. HarvardMCS_uConnect_Content_Audit_Action_Plan.xlsx)

Reading Your Action Plan Spreadsheet

Once your preferred AI tool delivers your spreadsheet, here's how it's organized:

Summary Banner (Row 4)

Three color-coded banners give you an at-a-glance snapshot of your platform's health — what's working well, what needs attention, and where to focus first.

Quick Wins (Items 1–3)

Lower-effort actions you can start immediately. These are typically focused on content discoverability — converting PDFs and external links to native uConnect content, improving tagging, and filling small but high-impact gaps. Each item includes a Why It Matters explanation and step-by-step Recommended Implementation guidance.

Longer Projects (Items 4–6)

More strategic investments that will meaningfully strengthen your platform ecosystem over time. These might include activating a new module, building out your People or Outcomes content, or deepening content in a specific community area.

Columns to Fill In

The Owner, Due Date, and Notes / Resources columns are intentionally left blank — these are for your team to fill in as you assign work and track progress. The Status column defaults to "Not Started" and can be updated to In Progress, Done, or On Hold as your team works through items.

Tips for Getting the Best Results

  • Run the audit on your live, public-facing platform URL — not a staging or preview link.
  • If your platform has a non-standard URL structure, mention it in the prompt so your preferred AI tool knows where to look.
  • The audit evaluates what's visible on the public-facing platform. Content that requires login to view won't be analyzed.
  • You can re-run the prompt anytime — it's a great way to track progress quarter over quarter as you work through your action plan.
  • If you want to focus the audit on a specific area (e.g., only your identity communities, or only your Resources module), add a note to the STEP 1 section specifying what to prioritize.

Frequently Asked Questions

Do I need a paid AI tool account?

Nope! If you encounter limits on longer sessions, most AI tools have paid subscriptions that offer  more capacity and is recommended for the best experience.

How long does the audit take?

Typically 2–4 minutes from the time you send the prompt to receiving your completed spreadsheet but this can vary depending on the AI tool.

Can I run this for multiple platforms?

Yes — just run the prompt separately for each platform, updating the CUSTOMER INFO section each time with the relevant institution details.

What if the spreadsheet looks different from what I expected?

You can ask your preferred AI tool to make adjustments in the same chat window. For example: "Can you change the brand color to #003087?" or "Can you add a fourth Quick Win focused on the Classes module?" Your preferred AI toolwill update the file and deliver a new version.

Will the audit catch everything on my platform?

The audit is based on publicly visible pages — it won't see content behind a login or in your admin dashboard. It's designed to surface the most impactful content gaps and AI Search readiness issues. For a deeper dive, your uConnect Success Manager can help you review findings and prioritize next steps.
